Adding time in My Time - Calendar View

Understanding the Calendar View


When the Time Tracking App is configured, clicking the respective icon in the side navigation takes the user to “My Time,” where they can access the calendar to manage their time. To access it, the user must select ‘Calendar’ from the top-right corner of the screen. The Calendar View provides a visual overview of your time entries across the week or month.

  1. View your time entries in Calendar view by selecting Calendar from the dropdown in the top-right corner of the screen.

  1. Switch between Week and Month views

  1. Return to the current date.

  1. Navigate between weeks or months using the arrow buttons. A week/month picker is also available for faster navigation.

  1. Add a new time entry.

  1. Search for existing time entries.

  1. The current date is highlighted in both the column header in Week view and the date cell in Month view

  1. In Week view, each column represents a day. Time entries are shown as colour-coded blocks with the Project/job/task name and duration.

    In Month view, each day displays a summary of time entries with the project name and logged time

    Note: Time entries can also be dragged to adjust their duration or moved to a different time slot or day.

Week View:

Month View:

  1. The all-day row at the top of Week view displays entries that span multiple days or have no specific time.

  1. Before starting the timer: In Week view, a green active timer line will be displayed on the calendar at the current time.

  1. Once the timer has started: In Week view, once the timer has started on the Timesheet, a Stop Timer icon and elapsed time will be displayed.

    Please note: the elapsed time indicator will only become visible after 30 minutes. Prior to 30 minutes, only the active timer bar will be displayed.

  1. Before starting the timer: In Month view, a green play icon will be displayed on the current date cell.

  1. Once the timer has started: In Month view, once the timer has started, the active entry will display a red Stop Timer button alongside the elapsed time within the current date cell.

    Please note: If more than four time entries exist for a given day, a +N more link will be displayed on the date cell. Clicking this link will expand a pop-up listing all entries for that date, including any actively running timer.

  1. In Week view, the TOTALS row at the bottom displays the total hours logged per day alongside the daily target and completion percentage.

    If Working Hours have not been configured in the user's profile, only the total logged time will be displayed. Hovering over a day displays a summary breakdown of time logged against Project, Job, and Task, Administrative Time, and any Overtime recorded.

Note:

  • When a time entry spans multiple days, the full duration is attributed to the first day of the entry. The subsequent days will be highlighted on the calendar, but will display no spent time value.

  • The daily target displayed in the Totals row is based on the Working Hours configured in the user's profile.

  1. In Month view, each cell represents a day. A TOTALS column on the right

    shows the weekly total hours logged against the target.

    If Working Hours have not been configured in the user's profile, only the total logged time will be displayed. Hovering over a weekly total displays a Week Total summary breakdown of time logged against Project, Job and Task, Administrative Time, and any Overtime recorded.

Note: The total target displayed in the Totals row is based on the Working Hours configured in the user's profile.

  1. If more than four time entries exist for a given day, a +N more link will be displayed on the date cell. Clicking this link will expand a pop-up listing all entries for that date, including any actively running timer.

  1. Time entries that have not been assigned to a Project, Job, or Task will be displayed as {Uncategorised} on the calendar month and week view.

Note: Uncategorised time entries are not displayed on the Timesheet view

Logging time against the Project in Calendar View


Important: When entering a duration, you can use the following format: m, h, d, or w to represent minutes, hours, days, or weeks respectively. For example, 2d will be saved as 24h.

When adding time entries at the project level, you must complete the fields specified in the app configuration: Project, Start Date, and Duration.

Calendar View(Week) — via toolbar

In the Calendar View (Week mode), you can add a time entry by clicking the + Add Time Entry button in the toolbar, then selecting a Project/Task/Job within the form.

Calendar View (Week) — via time grid

In the Calendar View (Week mode), you can add a time entry by:

  • Clicking on an empty slot within the time grid to create an {Uncategorised} entry at the selected time.

  • Selecting the Record Time in Project/Job/Task prompt that appears.

  • Completing the required fields within the Add form.

Note:

  • By default, the time slot duration is set to 30 minutes, and the start time is set to 12:00 am.

Calendar View(Month) — via toolbar

In the Calendar View (Month mode), you can add a time entry by selecting the + Add Time Entry button in the toolbar, then selecting a Project/Task/Job within the form.

Calendar View(Month) — via time grid

In the Calendar View (Month mode), you can add a time entry by:

  • Clicking on an empty slot within the time grid to create an {Uncategorised} entry at the selected time.

  • Selecting the Record Time in Project/Job/Task prompt that appears.

  • Completing the required fields within the Add form.

Note:

  • It is not possible to select multiple days at once in the Calendar View. Each time entry can be added to an individual day.

  • By default, the time slot duration is set to 30 minutes, and the start time is set to 12:00 am.

Using the Timer Function in Calendar View


The Timer allows you to record time in real-time directly from the Calendar View. When a timer is running, a floating timer is displayed at the bottom of the screen showing the elapsed time and the associated entry.

The table below provides an overview of the timer actions available in the Calendar View month and week.

Calendar View(Week) — Timer

In the Calendar View (Week mode), you can start the timer by:

  • Clicking the Start Timer button displayed the current time on the time grid.

  • Once started, a Stop Timer button will be displayed on the time grid.

  • The elapsed time indicator will only become visible after 30 minutes. Before this, only the active timer bar will be displayed.

  • To stop the running timer, click the Stop Timer button

Calendar View(Month) — Timer

In the Calendar View (Month mode), the timer can be identified by:

  • A Start Timer button is displayed on the current date cell, indicating the timer is ready to start.

  • Once started, a red Stop Timer button will be displayed on the date cell.

  • If more than four entries exist on that day, the running timer will be visible within the +N more pop-up.

  • To stop the running timer, click the red Stop Timer button. A floating timer bar will also be displayed at the bottom of the screen, showing the elapsed time.
