Overview


Bulk Copy allows you to create multiple duplicates of an item in Encodify quickly. This is useful when you need several similar records without manually recreating each one. By streamlining this process, Bulk Copy saves time, reduces repetitive data entry, and ensures consistency when working with large numbers of similar items.

How to configure Bulk Copy


To enable Bulk Copy, follow these steps:

  1. Navigate to Site Configuration → {Module} → Settings.

  2. Click Edit Settings.

  3. Check the box for Enable Copy Items.

  4. Set the Maximum Number of Copies Allowed to a value greater than 1.

  5. Specify a Field Template for Copy

  6. Click Save to apply your changes.

Understanding Bulk Copy


Note: A user will need to have Read and Upload access to be able to create the copy.

Where to find Bulk Copy

The Copy button will be available from the following locations:

  • Spreadsheet Widget – In the actions menu for individual items.

  • Calendar Widget – In the actions menu for individual items, accessible via right-click.

  • Module Search View – In the actions menu for individual items.

  • Form View – In the actions toolbar.

After clicking the Copy button, you will be prompted to specify and confirm the number of copies you want to create.

Bulk Copy Wizard

After confirming the number of copies to create, the Bulk Copy wizard will open and display a set of temporary items matching the number of copies specified. Each copy must be saved individually before it becomes a permanent item.

  1. Adjust the Row Height. Options include short, medium and tall. A users preference will be inherited from the associated module view.

Note: When Preview Media Files is enabled, the Short and Medium options will utilise the Media File Holder for Search Results as List defined within Module settings. For the Tall, we utilise the Media File Holder for Search Results option.

  1. Save the temporary items created according to the number of copies specified. The Save button is only available when using the Spreadsheet view. If you are working in Split view, each item must be opened and saved individually from the Form with Tabs view.

  1. The Module View Selector allows you to switch between all available views configured within a specific module. In this case, the dropdown list is restricted to display only the Spreadsheet and Split views. Other view types are not supported.

  1. A visual indicator is shown for each temporary item created. Once an item has been successfully created, the indicator will update to green.

  1. Close the Bulk Copy wizard. Please note that any temporary items which have not been saved will be discarded.
