Overview


Search Within Files lets users find content inside documents attached to items in Encodify. Supported file types are indexed, making their content searchable alongside standard Quick Search. Administrators control which Media Holders are indexed to ensure accurate and efficient search results.

Understanding Search within Files


Enable Search within Files

To enable Search within Files, follow these steps:

  1. Navigate to Site Configuration → Settings.

  2. Click Edit Settings.

  3. Check the box for Enable Search in Files.

  4. Click Save Settings to apply your changes.

After enabling file search, you must enable indexing on the relevant Media Holder:

  1. Navigate to Site Configuration → {Module} → Media Holder.

  2. Edit the Original Media Holder you wish to enable indexing for.

  3. Check the box for Enable Indexing.

  4. Click OK to apply your changes.

Important Notes

Before enabling Search within Files, please note the following:

  • Enabling indexing on a media holder starts indexing for the entire module.

  • The Enable Indexing option is available only for main media holders.

  • Previously, multiple file fields could not be indexed. Starting from version 11, indexing is also supported for multiple file fields.

  • File indexing will not occur if Enable search in Files is disabled in site settings, even if indexing is enabled at the media holder level.

  • If Enable search in Files is enabled in site settings, Enable Indexing will be selected by default for all newly created media holders.

  • If Enable search in Files is disabled in site settings, Enable Indexing must be manually enabled for new media holders.

  • If a module has at least one media holder with indexing enabled, 1 message is added to the queue for every 10 items.

  • If a module has no media holders with indexing enabled, 1 message is added to the queue for every 100 items.
